How to send payment reminders on WhatsApp (and stay within the rules)
Last reviewed 22 October 2026. General information, not legal or tax advice.
Business owners in India read WhatsApp long before email, so a reminder there is usually answered faster. Done badly, it also gets your number reported. Here is how to do it well.
Two ways to send
- WhatsApp Business app (your phone). Free, personal and one message at a time. Good when you have a few dozen customers.
- WhatsApp Business platform (API). Sends from your business number automatically, using templates Meta has approved. Needed for volume and for reminders that go out on schedule.
What a good reminder contains
- Your business name, so the customer knows who is writing.
- The bill numbers, amounts and due dates, and the total — one message for all open bills, not one per bill.
- How to pay: a UPI QR or link to your own UPI ID, or bank details.
- A clear question, such as “Could you share the expected payment date?”
- A human contact if they want to talk or dispute something.
Timing and tone
Send during working hours on working days. Start courteous before the due date, stay polite and become firmer as the bill ages, and never threaten. Pause as soon as the customer promises a date or raises a dispute, and pick up again only if the promise is missed. Follow the same respectful standards lenders are held to for recovery: no calls or messages at odd hours, and no abusive or intimidating language.
Templates and approvals
On the WhatsApp Business platform, the first message to a customer must be an approved template. Write it plainly (no pressure words), with placeholders for the name, bills and amount, and submit it under the utility category. Once the customer replies, you have 24 hours to chat freely.
Wording for each stage is in our payment reminder templates and the free reminder generator.
Doing it without the manual work
Tagaada drafts each reminder from templates you approve and lets you send it from your own phone in one tap, or automatically from your WhatsApp Business number. It only messages inside working hours, honours opt-outs, and stops when a payment, promise or dispute is recorded.
Frequently asked questions
Can I send payment reminders from my normal WhatsApp number?
From the WhatsApp Business app on your phone you can send messages one by one to customers who have your number and expect to hear from you. Sending in bulk or automatically needs the WhatsApp Business platform (the API) with templates approved by Meta.
What is a message template?
A pre-approved message with placeholders (customer name, amount, due date) that a business can send to start a conversation on the WhatsApp Business platform. Payment reminders usually fit the "utility" category. Once the customer replies, you can chat freely for 24 hours.
Do WhatsApp business messages cost money?
Messages sent from the WhatsApp Business app on a phone are free. On the WhatsApp Business platform, Meta charges per message by category and country; check Meta’s current pricing page.
What if a customer asks me to stop?
Stop messaging them on WhatsApp and note it, then use another agreed channel such as email or a phone call. Respecting opt-outs is required by WhatsApp’s policy and keeps your number in good standing.
