How CA firms can collect monthly documents from clients without chasing

For most CA firms, the hardest part of monthly bookkeeping and GST work is not the work itself but getting documents from clients on time. A simple, repeatable routine fixes most of it.
One checklist per client
Agree the list once: which bank accounts, which registers, which bills. Clients find it easier to send a known list every month than to answer a new request each time.
One upload link, usable from a phone
Most owners have the documents on their phone. A link that opens a simple page — tap the item, pick the file — gets documents faster than email or a shared drive. The link should only allow uploading, never reading.
Remind for what is missing, not everything
After the due date, remind only for the items not yet received. A message that says “still needed: purchase bills, HDFC statement” gets action; a repeat of the whole list gets ignored.
Doing it without the manual work
In Tagaada, a CA sends each client a private upload link with the month’s checklist. Clients upload from their phone without an account, the firm sees what has arrived, and the request repeats on the 1st of every month. The reminder lists only what is still missing. It is free for CA firms and their clients — see Tagaada for CA firms.
Frequently asked questions
Is a shared folder or WhatsApp group enough?
It works for a few clients, but files arrive with random names, nobody can see what is missing, and reminders go out for things already sent. A per-client checklist with an upload link removes that guesswork.
What should be on a monthly checklist?
Typically bank statements for every account, the sales register or sales invoices, purchase bills, expense bills and receipts, and a cash book if one is kept. Add GST or payroll documents where your engagement needs them.
Are uploaded documents private?
They should be. Use a link that only allows uploading, so someone who gets hold of it cannot read what was uploaded, and keep the files where only your firm can open them.
